Your receipts are rotting in your wallet.

Reading time: ~3 minutes

Go look at the oldest receipt in your wallet right now. If you can still read it, congratulations — thermal paper usually gives up within a few months, fading into a blank little ghost of a purchase you can’t prove you made.

Every faded receipt is a deduction you can’t defend and an expense you can’t explain. The fix takes ten seconds, and the only rule is: do it the same day.

Why It Matters

Your bank statement tells you that money moved. It doesn’t tell you what it was for. “SQ *SUPPLY HOUSE $184.27” might be materials for the Johnson job — or it might be the new drill you’ve been eyeing. Six months from now, will you remember which?

Receipts are the proof behind the numbers:

  1. No receipt, no deduction. If the IRS ever asks, “supplies” on a bank statement isn’t documentation. The receipt is.
  2. Memory has a shelf life. You will not remember what that $43.18 at the gas station was in April. You barely remember it now.
  3. Warranties and returns need them too. That tool with the one-year warranty? The receipt is the warranty.

A shoebox full of paper technically counts, but paper fades, gets lost, and can’t be searched. Digital doesn’t fade.

The Ten-Second System

Forget elaborate filing systems. The best receipt system is the one you’ll actually use, and it has exactly two steps:

  • Snap a photo the same day. Phone camera, right there in the parking lot. Ten seconds, done before you drive away.
  • Put it in one place, every time. A single album on your phone, a folder in Google Drive or Dropbox, an app like Dext or even just your email — pick ONE and never deviate.

That’s the whole system. Same day, one place. If you want bonus points, name the photo with the vendor and amount (“supply-house-184.jpg”), but don’t let perfect be the enemy of done — an unsorted photo beats a lost receipt every time.

The Trap To Watch For

The trap is building a “system” so elaborate you abandon it by week two — color-coded folders, seventeen tags, a spreadsheet cross-reference. Complexity is where receipt systems go to die.

The other trap is the end-of-month receipt hunt: dumping a pile of crumpled paper on the desk and trying to reconstruct what was what. You’ll get half of them right, and the other half become mystery expenses.

Your One Action This Week

Pick your one place — phone album, Drive folder, whatever — and create it right now. Then photograph every receipt you get today before the ink has a chance to fade. By Friday it’ll be reflex.

Next week, we’ll talk about where all of this goes: your chart of accounts, and why you don’t need 87 of them.
